Job Title: Executive and Financial Assistant 

Pay: $50,000 to $55,000

FLSA Status: Full time with benefits package (health, dental, vision, FSA after 60 days), 80 hours of PTO for the first year with paid company holidays).

Schedule: 10am to 6pm, in person

Travel: None

Summary: Youth Empowerment for Advancement Hangout (YEAH) is a Black-led, community-based non-profit supporting teens and young adults in West and Southwest Philadelphia ages 15 to 24 who are impacted by violence. YEAH works to create safe and authentic hangout spaces by providing culturally relevant engagement and implementing teen led interventions to address the root causes of violence. Utilizing teen action through peer led mediation and conflict resolution, community engagement, and economic opportunities, YEAH interrupts the cycle of youth community violence. YEAH acknowledges teens and young adults as the experts of their own lives and prioritizes pushing back against oppressive systems and addressing structural barriers that often lead to violence. 

 

Essential Duties & Responsibilities: The Executive and Financial Assistant will be responsible for assisting with the day-to-day financial, operations, and administrative office tasks that help YEAH Philly function as a newer and growing organization. This position will work with various staff members including the accounting director and provide support to the executive staff. 

 

Job Requirements: Philadelphia resident or residency within 6 months required. High School diploma required; Bachelor’s degree preferred. Candidates should have superb organizational and administrative skills and must have previous experience with administrative, finance, and operational duties; must know how to take initiative, be action oriented, and have excellent verbal and written communication skills. Candidates who identify racially or ethnically as Black or Brown and have been personally impacted by the criminal legal system or violence (directly or indirectly) are strongly encouraged to apply.

 

Primary Responsibilities:

  • Day-to-day financial tasks 
  • Responsible for financial records, invoices, and receipts
  • Obtain W9 from new vendors and enter into accounting system
  • Prepare yearly 1099 filings
  • Assist with financial audits 
  • Process donor acknowledgement letters
  • Enter and process payroll in accounting system
  • Enter daily budgets and expenses in accounting system
  • Maintain accounting files
  • Help compile fiscal policies and procedures
  • Administrative 
  • Maintain calendars
  • Order meals for staff
  • Answer phones and follow up with voicemails/returning calls 
  • Maintain inventory list and stock necessary supplies
  • Manage/maintain organizational insurances and complete insurance audits such as workman’s comp, D&O, etc. 
  • Shipping and mailing/post office runs as necessary
  • Manage service requests, e.g., printer, internet, etc.
  • Data entry 
  • Assisting executive staff with daily tasks 

 

Additional Responsibilities:

  • Assisting community members who walk in & need assistance
  • Other duties as assigned
